Data protection information for the recruitment platform
Boehringer Ingelheim welcomes your interest in working for our group. Before you proceed with your application, we would like to briefly notify you how we process and protect your personal data.
This platform is operated by Boehringer Ingelheim International GmbH, Binger Strasse 173, 55216 Ingelheim am Rhein
Once you have submitted your application, you may voluntarily add your data to our global applicant pool. This will allow us to notify you of other interesting positions.
Please note that additional provisions may apply depending on the location and laws applicable to the respective Boehringer Ingelheim company you are applying to (such as for companies based in the European Economic Area or the USA). Section VIII below describes these specific regulations.
I. How we use your personal data
We handle your personal data in order to process your application, i.e. in order to assess your suitability for the position to be filled and for administrative tasks relating to your possible hiring like setting appointments1. If you are already employed at a Boehringer Ingelheim company, internal privacy regulations may also apply.
II. Who has access to your personal data
Given Boehringer Ingelheim’s corporate structure, various group companies may receive your personal data in order to process your application:
- The company to which you apply for a position
- Other Boehringer companies whose responsible departments or HR departments are involved in processing your application
- Boehringer Ingelheim International GmbH as the operator of this recruitment platform
- Technical service providers that process data under the supervision of Boehringer Ingelheim
Example: You are applying for a position at Boehringer Ingelheim Ltd. (UK). Members of the responsible department in the USA (Boehringer Ingelheim Pharmaceuticals, Inc.) and the HR department in Germany (Boehringer Ingelheim Pharma GmbH & Co. KG) are involved in handling your application. As a result, employees from all three companies receive and process your personal data.
If you are hired, your data is transferred from the recruitment platform to the HR administration system of the Boehringer company that will be your employer.
Data processing for applications outside of the European Economic Area2 : If your residence is located in the European Economic Area and you are applying to a company established outside of this area (e.g. in China or the USA), please note that the use of your data by this group company is not subject to European data protection regulations, and as such, a different level of protection may apply.
III. Your access to your data; contacts
At any time, you can inspect, edit or delete the data that you uploaded as well as your applicant profile. Please note that any changes made to your profile may have an impact on your current applications. You may withdraw your application at any time.
You have the right to access the personal data stored about you and to receive the data you provided in a common and machine readable format or have such data transferred to a third party. In justified cases, you can request the deletion, correction or limitation of processing of your data. When your data is transferred to countries outside the European Economic Area 2, you can request information how your data is protected and, if applicable, a copy of the contract that provides the appropriate safeguards for your personal data.
In order to exercise these rights, please contact our data protection officer at email@example.com. In case you have further concerns about the processing of your data, you can also contact your data protection authority. For Boehringer Ingelheim International GmbH, the competent authority is the State Commissioner for Data Protection and Freedom of Information Rhineland-Palatinate (firstname.lastname@example.org).
IV. Retention period
Your applicant profile and your application are stored for six months after we selected the job candidate. If you chose to be included in our global applicant pool, your data is stored for a period of 24 months (unless you withdraw your consent).
V. Security of your data
We consider the security of your personal data a top priority. Accordingly, while no set of privacy and security standards or safeguards is 100% secure, any information that you share with us is kept secure and strictly confidential in accordance with this information. We take reasonable precautions to protect personal data from loss, misuse and unauthorized access, disclosure, alteration and destruction.
VI. Global applicant pool
After submitting your application, you have the option to release your applicant profile for the applicant pool, allowing us to consider you for additional open positions at group companies3. Your participation in the applicant pool is entirely optional and has no effect on your current applications.
If you no longer wish to be included in the applicant pool, you can revoke your consent at any time, particularly by sending an email to GlobalHRProcessMgmt.HR@boehringer-ingelheim.com or by deleting your applicant profile.
It is our intention to only notify you of positions at Boehringer Ingelheim that may be of interest to you. As such, we kindly ask you to regularly update your applicant profile.

1. Notice for applications in the European Economic Area
If you are applying for a position with a company established in the European Economic Area, the following applies additionally:
Sensitive data: Please do not save any sensitive data in the recruitment platform.
This particularly includes data regarding your health, religion, membership in a labour union or political party, or sex life.
Data use by companies domiciled outside of the European Economic Area: If you are applying for a position with a company established in the European Economic Area (e.g. in Germany) and your data is also processed by a group company in a country outside of the European Economic Area (e.g. in the USA), for which no adequacy decision of the European Commission applies, we ensure an adequate level of protection of your data by using Standard Contractual Clauses issued by the European Commission.
2. Notice for applications in the USA
If you are applying for a position with a company established in the USA, the following applies additionally:
With regard to Section III, please note, that also in cases of withdrawing your application or editing/deleting your profile we may retain the information you provided, as well as the changes and deletions to that information as part of our normal business practices and recordkeeping such for purposes of U.S. Equal Employment Opportunity reporting. In the event that we delete your applicant profile or your application, we will carry that out in accordance with applicable law.
3. Notice for applications in the Russian Federation
In case you are Russian Federation citizen, herewith you give your free, in your power and pursuing your own benefit certain, informed and conscious consent to process your personal data, given by you to the Boehringer Ingelheim group of companies and technical service providers. In particular, you transfer for the processing by the abovementioned entities all your personal data specified by you in this recruitment platform, including but not limited to: name, surname, patronymic, date of birth, information on education and qualifications, information on previous employment and work experience, contact information (address of residence, telephone number, e-mail), passport data (series, number, by whom and when issued; including data from a foreign passport), information about scientific works and publications, photograph. Your personal data may be processed in one of the following ways : processing of personal data, including any action (operation) or a set of actions (transactions) made with the use of means of automation or without the use of such means with personal data, including collection, recording, systematization, accumulation, storage, refinement (updating, alteration), extraction, use, transfer (distribution, providing access), crossborder transfer to Austria, Germany, UK, depersonalization, blocking, deletion, destruction of personal data. Your personal data should be stored from the time it is submitted to the time of revocation of this consent and / or the processing shall be terminated at the moment of the achievement of the objective of the processing (is it takes place earlier). In case you release your profile for the application tool, term of your personal data processing shall be 2 years since the last update of your profile.
4. Notice for applications in Australian and New Zealand
If you are applying for a position with a company established in Australia and or New Zealand, the following additionally applies.
If you do not provide the requested personal information to us, we may not be able to fully and effectively process your application.

We will process all the information set forth on your application and applicant profile including your name, gender, date of birth, nationality, and academic background, and any other information you have voluntarily provided for the purposes set forth in Section 1 (provided, however, that in no event shall sensitive data and unique identification data under the Personal Information Protection Act of Korea (the “PIPA”) be processed without obtaining your separate consent specific to the processing of such data) and will share such information to the entities set forth in Section 2 for the same purposes.
Unless otherwise provided under the applicable laws, your applicant profile, application and personal data will be retained, used and provided until the purposes of the Boehringer Ingelheim group set forth above have been achieved. Herewith you have been informed that you have a right to refuse to give the following consent, but in case of such refusal, you cannot apply for the recruitment process for Boehringer Ingelheim group companies through this recruitment platform.

This particularly includes data regarding your racial, ethnic or national origin; political views, religious or other beliefs; membership in political parties and/or organizations, trade unions, religious organizations or non-governmental organizations of ideological orientation; state of health; sexual life; biometric data; genetic data; data relating to the offences committed by or criminal convictions of a natural person; injunction measures applied against a natural person; measures applied against a natural person based on the Law of Ukraine “On Operative Investigation Activity”; use of any type of violence to the natural person; and location of and/or routes used by the natural person.
Data use by companies domiciled outside of Ukraine: If you are applying for a position with a company established in Ukraine and your data is also processed by a group company outside of Ukraine (e.g. in the USA, Germany), we implement measures to ensure an adequate level of protection of such personal data in compliance with the Law of Ukraine on Protection of Personal Data and ensure that respective personal data is transmitted only with the purpose with which it was collected.
Rights of the Personal Data Subject: You have the following rights with regard to your personal data:
Right to know about the collection sources, location of your personal data, purpose of its processing, location and/or place of residence (registration) of the controller or processor of such personal data, or right to issue a respective proxy to the authorized persons to obtain such information, except for cases established by the law;
